These Terms and Conditions ("Terms," "Agreement") govern your participation in retreats, events, trips, and Services organized and operated by Getaway Girls ("Company," "we," "us," or "our").
By submitting a retreat registration, selecting a payment option, or purchasing any Service from Getaway Girls, you ("Guest," "Participant," "you") agree to be legally bound by these Terms. Please read them carefully before registering.
1. Booking & Payment Structure
* Room Options: Guests may select either a Private Room or a Shared Room option during registration, subject to availability.
* Pay in Full: Select the "Pay in Full" option at checkout to receive any applicable pay-in-full discount noted on the specific retreat sales page.
* Payment Plans: If a payment plan is selected, the initial deposit is due at booking. Remaining installments will be automatically charged on the schedule or balance-due date specified on the individual retreat booking page.
* Late Bookings: Registrations made after the final payment deadline for a specific retreat require payment in full at the time of booking.
* Inclusions & Exclusions: Specific inclusions (lodging, meals, scheduled activities) are listed on the individual retreat page. Travel, transportation to and from the venue, and personal purchases are not included.
2. Guest Cancellation & Refund Policy
Because Getaway Girls commits to accommodation, dining, vendor, and activity costs well in advance, cancellations directly impact group operations. The following refund schedule applies to all bookings relative to the specific retreat start date:
* Cancellation Within 48 Hours of Booking: You will receive a full refund, less a $100 administrative fee, provided your cancellation request is submitted in writing within 48 hours of initial registration and at least 30 days prior to the retreat start date.
* Cancellation After 48 Hours: You will receive a 50% refund, less a $100 administrative fee, only if Getaway Girls is able to replace your spot with another confirmed participant prior to the retreat start date. Getaway Girls will make reasonable efforts to fill your spot.
* Non-Refundable Circumstances: Refunds will not be issued for late arrivals, early departures, missed activities, personal illness, travel disruptions/delays, or personal emergencies.
* Cancellation by Getaway Girls: If Getaway Girls cancels a retreat, participants will receive their choice of a 100% full refund of all payments made or a transfer of funds toward a future Getaway Girls retreat.
3. Travel & Medical Insurance
* Domestic Retreats: Travel insurance is optional but strongly recommended for domestic retreats. It remains at the sole discretion of the participant to purchase coverage.
* Protection Recommendation: Because refunds are not provided for personal emergencies, illness, flight delays, or weather disruptions, we strongly encourage guests to purchase trip cancellation/interruption insurance or a "Cancel For Any Reason" (CFAR) policy to protect their investment.
* Participant Responsibility: Getaway Girls is not responsible for expenses, losses, or costs incurred due to travel delays, medical issues, lost luggage, or unexpected personal cancellations.
4. Travel Requirements & Responsibilities
* Domestic Travel: Guests are responsible for securing their own transportation to and from the retreat venue, as well as maintaining valid government-issued identification required for domestic transit (such as a driver's license or REAL ID).
* Future International Travel: Should Getaway Girls offer international retreats in the future, guests will be required to hold a passport valid for at least six (6) months beyond the trip completion date and obtain any mandatory entry visas, health declarations, or required travel insurance.
5. Changes, Delays & Itinerary Modifications
* Itinerary Changes: Retreat schedules, local excursions, accommodation specifics, and hosts are subject to change due to weather, safety concerns, or vendor availability. We reserve the right to modify itineraries without issuing refunds, provided equivalent alternatives are arranged.
* Force Majeure: Getaway Girls is not liable for failure to perform or trip delays/cancellations resulting from acts of God, natural disasters, severe weather, government restrictions, or other unforeseeable events beyond our control. In a Force Majeure scenario, available remedies will be addressed in accordance with Section 2.
6. Code of Conduct & Guest Removal
Getaway Girls aims to foster an inclusive, safe, and empowering environment for all women.
Behavior Expectations: Illegal drug use, verbal or physical harassment, discrimination, or disruptive/dangerous behavior toward staff, vendors, or fellow guests will not be tolerated.
Termination of Stay: Getaway Girls reserves the right to terminate the participation of any guest whose conduct is deemed harmful, dangerous, or disruptive to the group. In such cases, the guest will be required to leave the retreat immediately at their own expense, without any refund or compensation.
7. Assumption of Risk & Liability Waiver
* Voluntary Participation: You acknowledge that participating in a retreat involves domestic travel, outdoor excursions, physical movement, and inherent risks (including injury, illness, property loss, or local transit hazards). You voluntarily assume all risks associated with participation.
* Limitation of Liability: To the maximum extent permitted by law, Getaway Girls, its founders, team members, contractors, and partners shall not be held liable for any direct, indirect, incidental, or consequential loss, injury, illness, or property damage occurring during or in connection with a retreat.
* Third-Party Vendors: Third-party providers (lodging venues, transport companies, chefs, activity guides) operate as independent contractors. Getaway Girls is not responsible for the acts, omissions, or defaults of any independent vendor.
8. Photo & Media Release Reference
Photography and videography may be taken during our retreats for promotional, social media, and community purposes. Your consent, preferences, and opt-out rights regarding the use of your image or likeness are governed by the separate Getaway Girls Photo & Media Release Agreement, which you agree to review and execute prior to attending a retreat.
9. Intellectual Property
All content, logos, retreat branding, guides, workbooks, and website materials provided by Getaway Girls are protected intellectual property. You may not copy, reproduce, distribute, or create derivative works from our materials without explicit written authorization.
10. Governing Law & Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of the state in which Getaway Girls is registered. Any dispute or claim arising under these Terms shall be resolved through good-faith mediation prior to pursuing formal litigation.
